Environmental & Sustainability Policy

Environmental & Sustainability Policy

INTRODUCTION

At Pan Galactic, we aim to be an environmentally friendly company and we intend to promote a policy that is focused on being sustainable. A culture will be fostered within the company that ensures all employees understand they can make a significant contribution to the company being an environmentally friendly and green-aware company. Pan Galactic’s policy is to comply with or exceed the requirements of environmental legislation and regulation. and promote good sustainability practices, to reduce the environmental impacts of all our activities and help our supply chain, clients, partners and all stakeholders to do the same. 

PRINCIPLES

Our Sustainability Policy is based on the following principles: 

The specifics of the company’s environmental policy are as follows:

  1. Pan Galactic will review and explore measures for the reduction of volumes of all waste materials generated by the company; and explore opportunities for reducing, repairing, or recycling all possible waste materials. Our ultimate aim will be to recycle any waste material that can be recycled if it can not be repurposed; 
  1. Pan Galactic will aim to reduce levels of energy consumption. The Company will introduce working practices that require computers, lights, photocopiers, and printers to be “switched off” when not in use. The Company will also ensure that heating, lighting and ventilation are used efficiently and effectively. See our Energy Saving Policy below for details.
  1. Pan Galactic will aim to purchase energy-efficient products where possible and appropriate;
  1. Pan Galactic will review opportunities and consider implementing measures for the reduction of  water use;
  1. Pan Galactic will aim to reduce levels of pollution emissions wherever possible. To this end, we will engage in sustainable travel following our policy: See our Sustainable Travel Policy below for details. 
  1. Pan Galactic will ensure that all employees are made aware and have access to a copy of this environmental policy. The Company will regularly review the policy to ensure that we are a green-aware, sustainable, environmentally active organisation.
  1. To integrate sustainability considerations into all our business decisions.
  1. To ensure that all staff are fully aware of our policies and are committed to implementing and improving them.
  1. To make clients and suppliers aware of our Sustainability Policy, and Green & Blue Paper, encouraging them to adopt sound sustainable management practices of their own.
  1. We will continually create, invest in, and lead sustainability projects that have measurable positive results for people and the planet.

PRACTICAL STEPS

To put these principles into practice we will: 

  1. When travelling to meetings
    1. Walk, cycle and/or use public transport to attend meetings, and site visits, apart from in exceptional circumstances where the alternatives are impractical and/or cost prohibitive. 
    2. Include the full costs of more sustainable forms of transport in our financial proposals, rather than the least cost option which may involve travelling by car or air.  Where the only practical alternative is to fly, we will include costs for full air fares in our financial proposals and appropriate offsets.
    3. Avoid physically travelling to meetings where alternatives are available and practical, such as using teleconferencing, video conferencing/webcams, and efficient timing of meetings to avoid multiple trips.  These options are also often more time efficient, while not entirely sacrificing the benefits of regular contact with clients and partners.
    4. Use an emissions recording scheme for business travel to monitor our impact.
  2. When purchasing equipment/consumption of resources 
    1. Minimise our use of paper and other office consumables, for example by double-siding all paper used, and identifying opportunities to reduce waste. 
    2. As far as possible arrange for the reuse or recycling of office waste, including paper, computer supplies and redundant equipment. This must be a consideration from the start and taken into consideration when purchasing equipment to ensure we only use the most eco-friendly equipment available to us, including energy-efficient computers. Choosing purchases and acquisitions based on energy efficiency, materials used, distance travelled, and eventual repair, reuse or recyclability will stop harmful elements from entering our sustainable system.
    3. In workplaces where we have control of the energy supply, we will purchase electricity from a supplier committed to renewable energy.  Seek to maximise the proportion from renewable energy sources, whilst also supporting investment in new renewable energy schemes. 

WORKING PRACTICES AND ADVICE TO CLIENTS

Ensure that any associates that we work with take account of sustainability issues in their advice to clients. Include a copy of our Sustainability Policy/Green & Blue Paper in all our proposals to clients.

ENERGY SAVING POLICY

INTRODUCTION

At Pan Galactic, we aim to be an environmentally friendly Company and it is our intention to promote a policy that is focused on being green aware and saving energy. A culture will be fostered within the company that ensures all employees understand they can make a significant contribution to the company being an environmentally friendly and sustainable company.

The Company's policy is to comply with or exceed the requirements of environmental legislation and regulation.

TEAM RESPONSIBILITIES

1)    All employees are responsible for helping the Pan Galactic to save energy. To achieve this, we all will:

  1. “Switch off” all equipment such as computers, screens, lights, phones, chargers, photocopiers and printers when not in use, including during breaks and at the end of the working day;
  2. where possible recycle all waste materials that cannot be reused;

c) reduce volumes of waste generated by, for example, only printing when absolutely necessary and only using resources that you actually need;

d) make use of natural light where possible;

e) use blinds to prevent heat loss or reduce the need for air conditioning, subject to weather conditions;

f) use the stairs rather than the lifts, if you can;

g) reduce the use of water where possible, especially heated water;

h) use technology to reduce the need to travel, and use public transport or electric vehicles, where travel is unavoidable;

i)   endeavor to reduce, reuse, or repair resources and create new ways to avoid repurchasing products especially those that have to travel far to reach us.

OUR RESPONSIBILITIES

The Company will also ensure that heating, lighting and ventilation are used infrequently, efficiently, and effectively;
  2. Pan Galactic will explore, and implement where possible, energy saving measures such as labelling switches to avoid lights and other appliances being left on when not in use, installing occupancy sensors in areas such as kitchens, store cupboards, toilets and locker rooms, making use of natural light where possible, encouraging staff to use the stairs if they can, rather than lifts, monitoring timings and temperatures of the company’s heating and cooling systems to see if any energy-saving adjustments can be made, checking the energy efficiency of appliances such as fridges and replacing these where necessary, and replacing kettles with instant boiling water dispensers.

SUSTAINABLE TRAVEL POLICY

INTRODUCTION

At Pan Galactic, we take our Corporate Social Responsibility (CSR) seriously and we recognise that our business operations and processes may have an impact on social, economic and environmental conditions outside of the workplace. We believe that the way we run our business can and should make a positive difference in these areas and one way we can achieve this is by operating a travel policy that focuses on sustainability and reducing our carbon footprint. 

A)  COMMUTING

We recognise that emissions from commuting to and from our offices could be reduced. Therefore, we encourage all crew members to consider both the cost and the carbon footprint of their commute and their chosen mode of transport. 

We offer the following incentives to help make a sustainable commuting choice:

  • if you walk, run or cycle to your primary office, you can apply to our Chief Sustainability Officer Alan Raw for a monthly green travel allowance (which you may, for example, use to pay for appropriate footwear or bike repairs and maintenance). The amount of the allowance that you are eligible for is determined by the CSO at their discretion. 
  • if you use public transport or a park-and-ride scheme to commute to your primary office, you can apply to our Chief Sustainability Officer for a monthly contribution towards your commuting costs. The amount of the contribution that you are eligible for is determined by the CSO based on the distance of the commute. 
  • If you live within a 1-mile radius of your primary office, to discourage you from travelling to work by car (excluding electric cars), we may impose a parking charge of £3 per day. We will use the proceeds of the parking to support our sustainability projects.

B)  BUSINESS TRAVEL

Reducing business travel wherever possible is important to achieve our net zero target. While we understand that it can be important to meet clients in person to build rapport, especially at the outset of a business relationship, we encourage you to consider meeting your clients or other business contacts (new or existing) virtually as the default.

Where it is necessary to travel for business purposes, you must consider both the cost and the carbon footprint of your journey and your chosen mode of transport (which may not be the easiest or most convenient option available). 

C)  TRAVEL EXPENSES

We will reimburse the reasonable cost of necessary business travel, subject to receipt of satisfactory evidence of expenditure and provided you have obtained approval for your journey and its cost and method from the CSO in advance. This requires that you provide an acceptable justification for the business travel.

The CSO may refuse to approve your journey at its discretion or may impose conditions, such as requiring you to travel by an alternative means (for example, by train rather than domestic flight).

If it is not possible to obtain advance approval from the CSO, for example, in the case of an urgent meeting convened on short notice, you are subsequently required to show that it was undertaken at a reasonable cost and with the most sustainable method possible, to claim back your expenses.

Every business journey you undertake is recorded on our internal system. We may consider in your annual performance review the journeys you made during the previous year to ensure that you are not unnecessarily travelling for business purposes and are otherwise following the letter and spirit of our sustainable travel policy.

D)  TRAVEL REQUEST AUTHORISATION

To make a request for business travel, employees can submit a request through our company SLACK, and request travel authorisation, giving as much detail as possible. 

Employees making requests for travel need to provide the following information:

• dates and times of travel

• mode of travel - own car, train, aeroplane, car hire, ferry, etc.

• departure point/train station/airport etc. 

• destination point e.g. station/airport 

• whether accommodation is required and for how long. 

These requests will be considered by the CSO in line with the rest of this policy.

E)  TRAVEL OUTSIDE THE UK

If travel outside the UK has been requested, and agreed to be unavoidable, a thorough risk assessment should be undertaken including the risk of unnecessary carbon emissions and a final decision made by senior management. 

F)  TRAVEL AGENCIES/SUPPLIERS

The Company’s preferred travel agencies/suppliers are those who take carbon emissions seriously and rate transport and accommodation options for sustainability. These ratings can usually be found easily on their websites if they do take it seriously and respect the rights and wishes of their travellers.

G)  AIR TRAVEL 

Air business travel will only be authorised when this is unavoidable and there is no more sustainable option reasonably available. 

Travel by air will be booked for economy class tickets only, as they allow less individual space making it possible to move more people on one flight, thus lowering the individual’s carbon footprint. 

H)  CAR TRAVEL 

We do not expect you to take a taxi when there is public transport available. When a taxi is the only viable option, choose electric or hybrid over petrol and diesel vehicles where possible. Employees should share car travel whenever possible. Please keep a note of the distance travelled and report this for carbon measurement. 

For shorter journeys, employees may only use their private petrol or diesel car if there is no more sustainable option available. 

I)  ACCOMMODATION, FOOD AND DRINK 

If your journey requires an overnight stay, the Company will arrange for overnight accommodation upon request. Hotels will be chosen by the booking team based on the convenience to the place of the company business (event, meeting, customer/client etc) and on cost to both the company and the environment. 

The Company will reimburse employees for the cost of food and drink required on overnight travel with booked accommodation, and we therefore encourage a plant-based diet, from an eco-conscious establishment, for example, those who use organic or local suppliers. 

J)  OUR EMPLOYEES

We will keep our team fully informed of our sustainability initiatives and we encourage all stakeholders to share your ideas with us on how this could be developed or improved. 

K)  BUSINESS PARTNERSHIPS

We will strive to engage with local suppliers and businesses where possible to meet the business’ operational needs to support businesses within our area and decrease our carbon footprint.

In respect of our sustainable travel initiative, we expect no lesser standards from our suppliers and business partners.
